Managing Team Members on a Project

Agiloop makes it easy to collaborate with your entire product team by letting you invite members, assign roles, and manage access — all from your project settings. This article covers everything you need to know about team membership on a project.


Understanding Roles


Every team member on a project is assigned one of four roles. Roles control what actions a person can take within the project.

Role Descriptions


  • Owner — Full control over the project, including deleting or transferring it. There is exactly one Owner per project. Owners cannot leave a project; they must first transfer ownership.
  • Admin — Can do almost everything the Owner can, including managing team membership and editing project settings. Admins cannot delete or transfer the project.
  • Maintainer — Can contribute to features and edit project settings, but cannot manage team membership or generate invite links.
  • Member — Can view and work on features, run AI interviews, and use the kanban board. Cannot change project settings or manage other members.


Note: When you create a project, you are automatically assigned the Owner role.


Inviting Team Members via Email


To add someone to your project by email:


  1. Open the project and navigate to Project Settings.
  2. Select the Team section.
  3. Enter the person's email address in the invite field.
  4. Select the role you want to assign them (Admin, Maintainer, or Member).
  5. Click Send Invite.


The invited person will receive an email with a link to join the project. Users do not need to already have an Agiloop account, they will receive the one-time passcode when accepting the invitation.


Note: Only Owners and Admins can send team email invitations.


Changing Someone's Role


To update a team member's role:


  1. Go to Project Settings and open the Team tab.
  2. Find the team member whose role you want to change.
  3. Click the role dropdown next to their name.
  4. Select the new role.


The change takes effect immediately.


Note: Only Owners and Admins can change member roles. An Owner's role cannot be changed by anyone other than the Owner themselves (via a project transfer).


Removing a Team Member


To remove someone from your project:


  1. Go to Project Settings and open the Team tab.
  2. Find the team member you want to remove.
  3. Click the remove or revoke button next to their name.
  4. Confirm the action when prompted.


The removed member will immediately lose access to the project.


Note: Only Owners and Admins can remove members. Removing someone does not delete their Agiloop account.


Leaving a Project


If you are a Member, Maintainer, or Admin, you can leave a project at any time.


  1. Go to Project Settings and open the Team tab.
  2. Find your own name in the member list.
  3. Click Leave Project.
  4. Confirm when prompted.


Once you leave, you will no longer have access to the project unless you are re-invited.


Note: Project Owners cannot leave a project directly. To leave a project you own, you must first transfer ownership to another team member. You can do this from the project settings under the General or Danger Zone section.


Tips for Managing Your Team


  • Assign the Admin role to trusted co-leads who need to manage membership without having full ownership responsibility.
  • Use the Maintainer role for technical leads who need settings access but should not be managing who is on the team.
  • Use the Member role for contributors who only need to work on features and participate in AI interviews.
  • Periodically review your team list and remove members who are no longer active on the project.
